Auto Redaction


The "Auto" button is a feature that uses artificial intelligence to automatically find and suggest confidential data in your document for redaction (not including Logo or Signature pattern suggestions).




1. Access the Auto Redaction feature in two ways:


a. You can click on the “Redaction Wizard” and then, click on the "Auto" button or the star icon.


b. You can select the "Auto Redaction" button or the star icon on the top right navigation in the redaction tool. It will automatically search for redact suggestions.


The Auto button uses AI to automatically find confidential data and suggest it for redaction. Once enabled, simply select the text you want to redact. To delete a redaction, just click on the highlighted redaction and hit delete.


2. Selecting items:


    a. Click on the words you want to redact and click on "Redact Items". 


3. Selecting all items:

 

a. Or, click on "Select All" to select all suggested words and redact them. 


4. Managing Results with the Three-Dot Menu: 

Each instance in the Auto-redaction results now includes a three-dot menu with additional options to help you efficiently manage results for that specific instance:


    a. "Remove All" results from this instance: Removes all results of this specific instance from the list.


    b. "Select All" results from this instance: Selects all results for the instance (available when at least one result is not selected).


    c. "Unselect All" results from this instance: Unselects all results for the instance (available when all results are already selected).


  d. "Add Reason" opens a modal to assign a reason or exemption to selected redactions.


5. Add Reason Modal:


The "Add Reason" option provides a modal with the following features to enhance redaction clarity and compliance:

  1. Add Redaction Reason:

    • A text input field allows users to add new redaction reasons.
    • A dropdown menu contains predefined redaction reasons.
  2. Add FOIA Exemptions:

    • A searchable dropdown menu containing FOIA exemption codes (e.g., (b)(2), (b)(3)).
    • Users can quickly locate and select the relevant exemption code by typing its identifier.
    • The selected FOIA exemption code will be applied to the redaction reason and displayed on the redacted content.
  3. Add Text:

    • A text input field for entering custom text.

Usage Guidelines

  • Exclusive Selection: Users can select only one option (dropdown or text field) at a time.
  • Searchable Dropdowns: Both the predefined reason and FOIA exemption dropdowns are searchable.
  • Apply Selection: Clicking the "Add Reason" button will apply the selected reason, exemption, or text to:
    • The specific item(s) selected via the three-dot menu.
    • All checkbox-selected items via the bottom panel button.
  • Cancel Action: Clicking on "Cancel" will close the modal without applying changes.





6. Deleting Redactions


a. To delete a redaction, click on the highlighted redaction and click "Delete Redaction".
