Redaction Categories

Redact By Categories


The "Categories" feature helps you quickly find and select specific types of information, like names or phone numbers, that you want to hide or “redact” in a document. It’s like a search function specifically for finding sensitive data.





1. Access the Categories feature in two ways


a. You can click on the “Redaction Wizard” and then on the paper icon written “Categories”.


b. You can select the "Categories" button or paper icon on the top right navigation in the redaction tool. 


c. When the Categories feature opens, it will appear in the sidebar with the following options: Links, Dates, Date of Birth, Logos, Full Names, Last Names, Amounts, Zip Codes, Signatures/Handwriting, Addresses, Full SSNs, Last 4 SSN, SSNs (no dashes), Credit Cards, Phone Numbers, Email Addresses, Account Numbers.


2. How to use the Categories feature


a. Click to enable the options you want and click on “Search” and the feature will locate the words that fit into the selected categories.


b. After selecting the desired words, click on “Redact items” to redact.


c. Or, click on “Select All Items” to redact all.


3. Managing Results with the Three-Dot Menu: 

Each instance in the Categories-redaction results now includes a three-dot menu with additional options to help you efficiently manage results for that specific instance:


    a. "Remove All" results from this instance: Removes all results of this specific instance from the list.


    b. "Select All" results from this instance: Selects all results for the instance (available when at least one result is not selected).


    c. "Unselect All" results from this instance: Unselects all results for the instance (available when all results are already selected).


    d. "Add Reason" opens a modal to assign a reason or exemption to selected redactions.


4. Add Reason Modal:


The "Add Reason" option provides a modal with the following features to enhance redaction clarity and compliance:

  1. Add Redaction Reason:

    • A text input field allows users to add new redaction reasons.
    • A dropdown menu contains predefined redaction reasons.
  2. Add FOIA Exemptions:

    • A searchable dropdown menu containing FOIA exemption codes (e.g., (b)(2), (b)(3)).
    • Users can quickly locate and select the relevant exemption code by typing its identifier.
    • The selected FOIA exemption code will be applied to the redaction reason and displayed on the redacted content.
  3. Add Text:

    • A text input field for entering custom text.

Usage Guidelines

  • Exclusive Selection: Users can select only one option (dropdown or text field) at a time.
  • Searchable Dropdowns: Both the predefined reason and FOIA exemption dropdowns are searchable.
  • Apply Selection: Clicking the "Add Reason" button will apply the selected reason, exemption, or text to:
    • The specific item(s) selected via the three-dot menu.
    • All checkbox-selected items via the bottom panel button.
  • Cancel Action: Clicking on "Cancel" will close the modal without applying changes.



5. Delete a redaction


a. Click on the highlighted redaction and click "Delete Redaction".
